IAA, Inc. is seeking a Real Estate Construction Coordinator to join our corporate team in Westchester, IL.

Key Responsibilities:

Maintain key Real Estate Construction ShareDrive folders, templates, documents, and project tracking spreadsheets, etc.
Provide support completing Real Estate annual capex budget and monthly forecasts
Continual audit process of construction database for accuracy
Expense approvals
Coordinate with Real Estate project lead of the submission of all necessary construction paperwork to Real Estate Project Coordinator
Oversee Pit Stop database for Construction team, i.e., REQ/PO set up, attain, and submit all invoices from vendors to project lead for approval, complete vendor setup in Pit Stop, etc.
Provide support completing special projects
Provide support in ensuring the timely execution of every state of the construction process
Provide support facilitating the project transitions, i.e., Development to Construction, Project Manager to Project Manager, Construction to Project Closeout
Interact with Landlords, Engineers, and any other outside vendors on an as needed basis regarding payments, change of address or legal entity and other project administration issues
General construction administration. Foregoing includes interact with project Real Estate staff to attain all necessary due diligence documents, i.e., surveys, site plans, project intake forms, financial project summary, project transaction approval, etc.
Assist Real Estate Team Manager and Director of Construction streamline process of project update communique internally
Provide support with any Real Estate meeting scheduling/preparation as requested which will include spreadsheets and power point documents
Frequent interface with Procurement, Security, Accounting, Finance, Legal and other internal departments
Provide administrative support to the Construction Project Manager's, Senior Project Manager and Director of Construction as requested
Host of Real Estate Construction requested meetings
Frequent coordination regarding utility setups, transfers, and project close outs with third party payment management company
Other duties as assigned by management

The Ideal Candidate Will Have:

Associates or higher degree from an accredited institution or transitional experience (preferred)
Demonstrated ability to plan, prioritize and organize multiple cross-functional tasks in a fast-paced environment.
Organizational skills
Process oriented professional with an ability to exercise sound business judgement to achieve desired results
Ability to work independently and be proactive on project initiatives
Complete tasks within defined deadlines
Experience presenting to internal and external executives
Ability to handle confidential and non-routine information.
Interactions with Others, to include external and internal customers
Microsoft Office Suite, esp. Excel, Word, and PowerPoint
